JOB DESCRIPTION Title: Translation Project Manager Prime Objectives of the Post: To provide professional and effective support with the objective of adding value to the business and enabling the Company to provide excellent quality translation services and develop client relationships . This will involve, among other things, contributing to the development of workflows and best practice activities aimed at strengthening the foundations and the direction of the business, performing activities pertaining to the day-to-day planning and delivery of projects, as well as developing strategies around the clients’ needs and potential service requirements in order to grow the size of their account. Responsible to : Senior Project Manager Main tasks: General Notes: In performing the activities outlined below, the Translation Project Manager will : Ensure that the best possible localisation process is set up for the client’s needs. Create quotations based on negotiated rates. Effectively communicate with high profile clients to ensure customer satisfaction. Plan, schedule and monitor the progress of multiple projects. Plan, schedule and monitor the activities of the Project Coordinator against the objectives agreed (if applicable). Prioritise own work as appropriate to meet the customer expectations and the Company’s requirements. Manage and maintain records ensuring that systems and processes are effective and easily accessible. Have a confident knowledge of Microsoft packages and other CAT software used, as well as being self-sufficient with good organisation skills in the day-to-day handling of tasks. Deal with a range of issues and handle them with timely, creative and effective problem resolution, where appropriate. Project Management Preparing quotes based on requests of translation received from clients and compiling the quotes according to Xtrf and agreed best practice workflows. Establishing the most suitable translator for the project and contacting him/her to check availability Assessing a feasible timeframe required for the completion of a project, taking into account the client’s requirements; negotiating timeframes with client and translator to match client’s requirements Briefing in writing the translator who has accepted the job Entering the new job in the system and providing job details to the translator Liaising with the client if the translator has questions on the text being translated Checking the delivered files before they are sent to the client and making sure that they reach the client within the agreed timescale Knowledge, Skills and Experience Strong oral and written communication skills. Problem-solving skills and high-level of IT literacy. Team management and client facing experience. Must be self-sufficient with good organisational skills, flexible and have an ability to work well independently as well as part of a team. Organisation and Planning The jobholder will possess well developed organisational and planning skills to ensure that objectives set are achieved within the timeframes agreed and identified with clients. These skills will also be evident in the management of other non-project related work, i.e. general housekeeping, time management and recording, appropriate use of systems and processes. Contacts and Communications The role carries and demands a high personal external and internal profile, particularly with clients including managers within client and supplier companies. The jobholder must therefore be credible and possess an ability to build and maintain long-term relationships with these groups which ultimately ensures the future success of the organisation. Judgement and Decision Making The jobholder is free to organise and manage personal effectiveness with minimal supervision. He or she is required to use their own judgement and decisions on all aspects of work, keeping the Managing Director informed. The jobholder must be able to analyse a range of information and make judgements based upon previous knowledge and experience of data available. Complexity and Problem Solving The jobholder is required to identify problems and a range of appropriate solutions and ensure that the client is informed of all such issues as they arise in a timely and appropriate fashion. The jobholder is responsible for managing a range of issues and therefore timely, creative and effective problem resolution is essential.
